Travel Terms and Conditions

To sign up for a tour with West Canada Bike Tours (WCBT) register online or print and fax or mail a completed registration form. In case of electronic registration we confirm its receipt immediately by email. We email you our complete trip confirmation package including details about your trip and your final invoice. Your registration is complete when we receive your deposit.

Cost quoted is in Canadian Dollars and include all applicable taxes. All prices are per person, and are based on double occupancy. A deposit of 20% is required within 14 days of reception of our invoice to reserve your space. The balance is due 28 days before your trip begins. If the balance due is not received by the due date, we reserve the right to cancel a reservation. Our cancellation policy will apply. If your registration is received 60 days or less before your trip begins, you are required to pay total tour fee at once. You cover any fees for payments and refunds.

Services provided

WCBT is obligated to provide the service as described on our website. As we are constantly fine-tuning our tours we may occasionally amend a tour itinerary to include a different route or accommodation always keeping your interest as our client in mind.

Our Changes and Cancellations

If we increase the trip price for more than 10% or make substantial changes to the overall nature of the tour since you booked you will be entitled to rescind from the travel contract at no charge or to request the participation in another trip of at least the same value at no extra charge. You have to assert these rights from us immediately after the receipt of our information about the price adaptation or the change of a travel service.

We reserve the right to cancel trips when circumstances make it necessary, in which case a full refund will be made to any registrants; you may be offered to switch to another tour. We are not responsible for additional expenses, such as travel costs. Where WCBT decides it is not feasible, practical or advisable to continue with a trip as scheduled, WCBT reserves the right to cancel or reroute a tour under its management, or any part of a tour. WCBT shall not be liable for failure to perform any obligation nor be responsible for any damage resulting from delay or termination of a trip by causes beyond its reasonable control.

If there are fewer than seven participants in your escorted trip or fewer than four participants in your self-guided trip, no later than 28 days prior to the tour start you will be given the choice of switching to another similar tour, paying a premium to do the tour as booked, or cancelling for a full refund. We reserve the right to deny participation to anyone endangering or disrupting the well-being or enjoyment of any other trip participants, in our estimation.

Your Changes and Cancellations

If, after reserving a tour, you want to switch to another tour in the same calendar year, if possible, we will gladly transfer your deposit to another trip, for an administrative fee of $100 per person, providing you inform us in writing at least 30 days prior to your original departure date. All other changes will be treated as cancellations.

You may cancel the travel contract anytime before the start of the tour or during a tour. Cancellations must be received in writing. If you decide to cancel your trip, the following fees apply at the time we receive written notice of your cancellation, without exception:

Number of days prior to tour departure date Cancellation Fee per person
30 or more days 20% of trip cost
29 to 15 days 50% of trip cost
14 to tour start 90% of trip cost
After tour start 100% of trip cost

Refunds constitute full settlement in the event of cancellation of a tour.

Your Obligations

You are responsible for selecting a tour that suits your abilities, fitness level and general health. You are required to notify WCBT of any deficiencies that occur and to request remedies within an adequate time period from us. If you fail to report any deficiencies, you have no claim to any reduction of the trip price. We may decline such remedy if it requires disproportionate effort.  You need to make all claims for remedies and damages in writing within one month following the scheduled end of the trip under the address given below.  In the event any travel services are disrupted, you are obliged to help within the provisions of the law to avoid any damage or keep it as low as possible.

You are responsible for your timely arrival at the point of departure and at the meeting point of your group as published. You are liable for any damages and for the loss of bikes rented from us, if you have wilfully or negligently caused damage or loss. Please lock your bike up at all times. The bikes are subject to high strains on the tour. It rests with you to maintain and control your private or rented bike during the tour. You are to notify the tour guide of any deficiencies regarding the bike’s roadworthiness / capability.

You are personally responsible for adhering to all regulations relevant to the execution of the tour. At the start of our tour you will be expected to sign a Liability Waiver.
